Email - Not Working (SMTP settings)

Are you using the most current release of QuoteWerks?

Issue:
E-mail is not functioning properly

Cause:
Wrong or no smtp server, no login/password to authenticate the smtp server, return e-mail address is not the same as the e-mail address in Outlook.

Solution:
If e-mail has never worked, please note that you have to setup the email features under the Internet tab of the ToolsMy Preferences menu.

If e-mail has worked in the past, the next question is "Can other users on your network (if you have a network copy of QuoteWerks) send emails using QuoteWerks?" The next question is "Can you email using the SMTP protocol from any other email software? and what email software is that?" If you can email using other software, make sure that you have entered the exact same SMTP server name and return email address in QuoteWerks (under the Internet tab of the ToolsMy Preferences menu) as you have in the other email software. If you are using QuoteWerks 3.0 build 17 or later, there are SMTP authentication user name and password settings (on the Internet tab too) that 99% are not required and if you do fill them out when they are not required, it will cause a problem. If you are using QuoteWerks 3.0 build 18 or later there is also an email port number setting (the default port is 25).

Internet Connection
In order to use the email feature, the machine needs to have an active internet connection in order to send the email from QuoteWerks. On the Internet tab of the ToolsMy Preferences menu, there is an option for network connection called "Use Dial-up networking". If this option is checked, then QuoteWerks will look on the computer to find an active dialup connection, and if no dialup connection is active, QuoteWerks will load a list of the dialup connections available on the machine and prompt you to select one and enter your dialup connection Id and password. After a dialup internet connection is established, QuoteWerks will proceed to send the email. If the "Use Dial-up networking" option is not checked, then QuoteWerks will assume that you have a full time internet connection through your network.

SMTP server name
The SMTP server name in most cases will follow the format of smtp.myserver.com. Make sure that the SMTP server name that you have specified is correct and valid.

Return e-mail address
When sending an email message using an SMTP server, the from email address must be valid, and the user name listed in the return email address must exist in the SMTP server's list of mailboxes/user names. So, for example, when a customer was using Microsoft Exchange as the SMTP server, and they listed their aliased email address of john@mycompany.com for example, they could not send their email since their actual ISP account was jlewe as in jlewe@myisp.net, so their SMTP server name was smtp.accesschicago.net with a mailbox/user name of jlewe, but the from email address in their email referred to a maibox of john which may exist at smtp.quotewerks.com, but does not exist at smtp.accesschicago.net.

Can you email from other applications?

If you can email from other applications, a good place to start is to retrieve the exact SMTP and return email address settings that these other email applications are using and copy those settings into QuoteWerks.

Finding SMTP server name from GoldMine 4.0,5.0,5.5.........
1) Select the EditPreferences menu.
2) Select the Internet tab.
3) Here you will see the SMTP server name currently being used.

Finding SMTP server name from MS Outlook 97.........
1) Select the ToolsServices menu.
2) Select the Services tab.
3) Select the internet connection that is already setup here, and click on Properties button. Here you will see the SMTP server name currently being used.

Finding SMTP server name from MS Outlook 2000......
1) Select ToolsAccounts menu.
2) Select the Mail tab.
3) Select the existing mail service entry and click on the Properties button.
4) Select the Servers tab. The SMTP server name is listed in the Outgoing mail (SMTP) box.


Finding SMTP server name from MS Outlook Express 5......
1) Select ToolsAccounts menu.
2) Select the Mail tab.
3) Select the existing mail service entry and click on the Properties button.
4) Select the Servers tab. The SMTP server name is listed in the Outgoing mail (SMTP) box.
