Advanced Sales Tax in QuoteWerks

Getting Started with USA Advanced Sales Tax

 

1) Make sure you are running v26 build 1.00 or higher.

 

2) Make sure that you have the Realtime module and current UMP.

 

3) Navigate to the Regional tab of the Tools->Options menu and choose "USA Advanced (Y/N)" from the Tax System drop down.

 

4) Choose the View->Customize Columns menu and make sure that these columns are visible:

ItemType

TaxCode

Sales Tax (Line Total Tax)

ItemTaxSummary (make sure this column is located where you can see it)

 

5) Next, choose the Utilities->Sales Tax Manager menu.

Here you will want to setup:

A.Sales Tax Categories (as needed)

and

B.Then map ItemTypes to Sales Tax Categories, paying attention to if this category of item should have single article limits applied to it.

and

C.Create any special Sales Tax Rules

 

 

There are two types of Sales Tax Rules:

 

Override

By default, a state or county will charge lets say 6% on all products. You can use an override if your state, for example, only charges 3% if it is software and being sold to a business.

 

Addition

If your state or county charges some kind of special tax that is not known to our tax table realtime feed, then you can manually add it here as an addition to charge an additional tax. A good example of this is for TN, the state collects 2.75% additional tax on single article sales between the amount of $1,600 and $3,200.

 

 

6) Create a quote and see how the advanced tax system works.

You have to enter/select a valid address on the ShipTo tab and click on the realtime sales tax button to load the quote with the appropriate advanced sales tax data and rules so that the advanced sales tax can be calculated. Sales tax is based on where a product is shipped/delivered to which is the reason why this button is under the ShipTo information.

You will see the tax calculations used for each line item in the ItemTaxSummary column.

There is also a Tax Info button above the Document Items grid, that will show you even more tax details.

 

Important:   When you select the realtime tax data for the quote, the information is stored with that quote and does not refresh until you retrieve realtime data for the quote again. This is important so that older quotes when opened do not automatically recalculate tax using current information. Further expanding on this, older quotes in the database that were created before the activation of the new USA Advanced Sales Tax system will still have the old aggregate tax calculations in them.

 

Some things to keep in mind:

Make sure your Item types are mapped to a Tax Category.

After changing tax categories or rules overrides,additions, etc in the Sales tax Manager, for it to take effect in a currently open quote or even a closed quote that you reopen, you need to re-select the realtime tax to refresh the document with the new tax changes.

When clicking on the [Tax info] button, you will see in the Tax Info xml you can see when the tax data in the quote was last updated under the AdvancedSalesTax\Created tag, if its not today, then you don't have a fresh copy of the tax data.

Any time you change the tax rules (Under the Utilities->Sales Tax Manager menu, you need to go re-select the tax using the [realtime tax rate] button because a static copy of the tax settings are always stored per document.
