Version 4.5 Build 10 (released August 11, 2010)

Version 4.5 Build 9 (released July 29, 2010)

 6. Real-time Pricing and Availability is now available for the distributor ScanSource ( www.scansource.com ).

 7. You can now synchronize master and remote installations that are not running the exact same build number as long as they are compatible builds.

 8. In the QuoteWerks installer, you can now browse for UNC paths and in network neighborhood. Also, you no longer have to double click on a folder to select it.

 9. For ConnectWise users, when creating product definitions in ConnectWise, there is now a mapping for the ConnectWise Product Class.

 10. When sending sales opportunity information over to ConnectWise, ACT!, ACT! For Web, Outlook, MSCRM, and SugarCRM, when grouped bundles are configured to be created in the CRM as a single roll-up line (as opposed to individual line items) now if 50% or more of the items that compose the grouped bundle are taxable than the single roll-up will be also created as taxable in the CRM.

 14. New PDF assembly feature. There is now a [PDF] button on the Print window. This enables you to select the various print options on the Print window, like the layout file, Literature, Spec Sheets, File Links, etc, and then create a single PDF file containing only those selections. When creating the PDF file, the new Save File dialog is displayed giving you the option to automatically link this new PDF file to the Links tab of the Quote WorkBook. You can assemble combinations of literature and specs sheets into single PDF files. You could create a PDF file that just contained the basic line item details for an order that you can give to your technicians that will be fulfilling the order, rather than them having to look through an entire proposal. Especially when using the 'Generate Multiple Purchase Orders' feature, a PDF file of each purchase order can be created and automatically linked into the Links tab of the Quote WorkBook. After the PDF file has been created, the new Display Saved File dialog presents you with options such as [Open containing folder], [Copy name], and [View file]. [Copy name] is particularly useful for then pasting the file path and name into an email or other document. The [Open containing folder] is useful for quickly navigating to the folder that the file is saved in for purposes of seeing what other files are in that folder, or maybe so that you can then move the file or rename it.

 15. For ConnectWise users, you can now attach files to the Documents tab of the ConnectWise Opportunity through the Create/Update ConnectWise Opportunity window. You can either select a file using a file selection dialog, or choose a file that is already linked to the quote under the Links tab on the Quote WorkBook. This is really useful for attaching a PDF version of the quote to the ConnectWise Opportunity. Having a PDF version of the quote is an advantage because anyone can then view the quote - they do not have to have QuoteWerks installed on their machine to view the quote. You can attach multiple PDF files to the opportunity, so you can easily attach the customer proposal, and a no frills plain vanilla version for the service technicians to follow, and basically anything else you could want.

 16. For ConnectWise users, the TaxRate and Terms fields can now be automatically retrieved from the ConnectWise company and pulled into the quote using the DataLink feature. To activate this, need to setup them as DataLink fields. Under the Contacts->Setup Contact Manager, choose ConnectWise and then click on the [DataLink Setup] button. Click on the [New] button to create a new DataLink mapping. Choose "Company->TaxRate" as the Contact Manager field and "LocalTaxRate" as the QuoteWerks field. For the Terms field, click on the [New] button and choose "Company->Terms" as the Contact Manager field and "Terms" as the QuoteWerks field.

 17. For ConnectWise users, the ConnectWise Opportunity Location and Business Unit can now be set through the Create/Update Opportunity window in QuoteWerks.

 18. For ConnectWise users, ConnectWise user defined fields are now supported by our DataLink. The User Defined Fields from the Profile tab of the ConnectWise Company record and the User Defined Fields from the Other tab of the ConnectWise Contact record can now be pulled into the quote automatically when the contact is inserted into the quote.

 19. For ConnectWise users, if a quote is converted to an order and only this quote is linked to the ConnectWise Opportunity, the ConnectWise Opportunity will be closed as Won (in addition to the quote's forecast line being closed as Won).

 20. For ConnectWise users, when QuoteWerks creates a product definition in ConnectWise, the manufacturer field will now be set as long as the Manufacturer exists in the hard coded list of manufacturers in ConnectWise. If the manufacturer for the item does not exist in ConnectWise the manufacturer will be set to a blank value. If you would prefer to have the manufacturer set to "Other", you can set the ini key ManufacturerNotFoundSetToOther=-1 under the [ConnectWise] section of the site.ini file.

 21. Outlook 2010 now supported for suppression of Outlook Security Prompt of "A program is trying to automatically send e-mail on your behalf. Do you want to allow this?"

 22. On the QuoteWerks Edit Contact window, there is now a ContextRef field below the Contact field. This can be used to make a contextual note about this person that is always displayed right by the contact name (rather than buried in the Notes tab). You can use this to store all sorts of useful information like "he is our new property manager", "met him at EHExpo", "met him golfing with John", "met at 2009 superbowl party". You can also put things like "is a guy" or "is a girl" for help with unisex names. And of course you can use it to indicate how to pronounce someone's name, like for "Lewe" you could say "pronounced Loo".

 23. On the QuoteWerks Edit Contact window, on the Notes tab, the Notes tab is now divided into two sections - TopNotes and Notes. Typically as you add new notes to the Notes field, the older notes get pushed further and further down. Often, important information then becomes buried in the middle of lots of notes. The TopNotes will always stay on the top. This is especially useful for recording things like warnings, notices, and instructions that you always want to see. It can be things like user id's, account numbers, instructions on how to navigate through their phone system like prompt [5] then [7], then [2]. You can also store information like "Always get signature for delivery. Always use their FedEx# 1234-5678-9. Typically we speak with John or Brian when accepting orders. If the customer asks for pricing, only Mike knows the special pricing they negotiated."

 24. On the Views tab of the Tools|My Preferences menu there is now a "Default Edit Contact tab" option. This will set which tab is displayed by default when viewing a QuoteWerks contact record.

 25. On the Notes tab of the QuoteWerks Edit Contact window, you can press CTRL-I to insert a note. This will switch to the Notes tab and insert the logged in user name, date, and time at the beginning of the notes field. It will insert, for example, "*** (John Lewe) *** May 10, 2010 at 9:45 am".

 26. The Built-in SMTP email encoding can now be modified. On the Misc sub tab of the Internet tab, under the Tools->My Preferences menu, there is now a "Use 8 bit encoding" option. There is also a "Encode E-mail using character set" setting. For example, to support the German Umlaut characters, you would check the "8 bit" option and type in the character set of "iso-8859-15".

 27. Grouped Configuration Items and Grouped Bundle Items now support a "Don't include in Group" option. This option gives you the capability to do two different things. First, through the Configurator, the last items you choose can be formula based line items that are added below the group as regular line items not actually in the group. The benefit here is that you can add for example a formula based line item that is 20% of the group header amount. Alternatively, at the end of the Configuration you can create one or more selection containers and populate it with items that will not be included in the group, but rather after the group. The real benefit here is that you can build a configuration that is grouped and then easily choose from a specific list of other products to add after the group. Without this you would have to go search the entire product database manually looking for other items to add. With this feature, you can just choose from the items previously setup in the selection container.

 28. In the Quick Lookup Bar, if you press enter in the part number field without specifying a part number, the Product Lookup window will be opened to the product database selected in the Quick Lookup Bar.

 29. Product/Service items that are setup with the Formula based pricing method now supports negative numbers, so you can calculate the pricing as "-20%" or "20%"

 30. Added Select All and De-Select All buttons to the Links tab of the File|Print window.

 31. Added new "Remove all print selections" button on the File|Print window. This de-selects all Cover Page, Literature, Spec Sheets, and File Links selections on this window.

 32. If a Report Layout .fpc file is copied into the Print Layout's LAYOUTS folder, you will be prompted to convert the Report Layout .fpc file to a Print Layout .fpc file. Different macros and fields are supported in Report Layouts vs Print Layouts which will need to be accounted for, but the benefit is that you can leverage any formatting that you have created in the Report Layout.

 33. Pressing the F12 key launches the Remote Assistance support page used to begin a remote control session. This is the same as the Help->QuoteWerks on the Web->Remote Assistance menu, just a lot less steps.


Version 4.5 Build 5 (released April 23, 2010)

 34. For ConnectWise users, there is now a new [Unlink] button on the Create/Update Opportunity window. This is useful when accidentally attaching a quote to the wrong opportunity in ConnectWise. With this feature all entries relating to the QuoteWerks Quote will be removed from the ConnectWise opportunity including: Forecast lines, products listed under the Products Tab, services listed under the Services Tab, the document attachment under the Documents Tab, and the Call activity under the Activities Tab.

 35. For ConnectWise users, when selecting a contact to use in the quote, if the contact has multiple sites associated with it, you will be able to choose the particular site you would want to use. Sites can be designated as Primary, Default Ship, Default Bill, and Default Mail. These designations are indicated in your selection list. Additionally, when selecting a Ship To contact for the quote, the Default Ship site will be the default selection.

 36. Multiple PDF files can now be merged into a single PDF file. When creating a quote that included PDF literature files and/or PDF spec sheet files, and then emailing the quote, all these PDF files would be attached individually. Now with the new 'Merge PDF files' option, all these PDF files will be automatically merged into a single PDF file with the main quote itself resulting in only one PDF file attachment when emailing quotes. This user based option can be set under the Misc tab of the Tools->My Preferences menu.

 37. On the Links tab you can now select Multiple PDF files that are linked and right click to choose the Merge PDF files menu. This will combine the selected PDF files into a single PDF file and will create a file link to the combined single PDF file on the Links tab.

 38. On the Print Preview window, when saving the preview as a PDF file, any PDF file attachments will be merged into the resulting PDF file as long as the user option of 'Merge PDF files' is set.

 39. The Recurring Revenue aspects of a product definition can now be imported through the Import Wizard with the macro fields &RecurringData.BillingCycle, &RecurringData.CycleBasis, and &RecurringData.FirstPaymentIncluded.

 40. When using the Price Comparison window to change the vendor for an item, if the item cost in the quote is calculated using a CostModifier like D40, you will now be asked if you want to keep the cost modifier or overwrite the cost with the fixed cost from the comparison window thereby clearing the cost modifier.


Version 4.5 Build 4 (released April 7, 2010)

 41. ConnectWise 2010 is now supported with new built-in ConnectWise link. This new integration is available in the Corporate Edition of QuoteWerks. The integration includes: a) ConnectWise can be searched to find Contacts to pull into the quote. b) QuoteWerks will create/update a Sales opportunity in ConnectWise. You can attach to existing ConnectWise opportunities or create new opportunities in ConnectWise. You can even attach multiple quotes to the same ConnectWise opportunity. QuoteWerks creates forecast lines in the ConnectWise opportunity breaking down the forecasted amount by Product, Service, Managed Service, and Other. This enables you to quickly glance at your opportunity to see your revenue breakdown. Recurring revenue forecasting options are also supported. Products and Services can be optionally be automatically created under the Products and Services tabs respectively in the ConnectWise opportunity. These products are also created and updated in the ConnectWise master product database. c) QuoteWerks will create/update an attachment to the quote under the Documents tab in the ConnectWise Opportunity. This can be used to open up the quote that the opportunity refers to. If this is a remote install or satellite office, opening that document link will import that quote into that QuoteWerks installation. d) QuoteWerks will create/update a call activity in ConnectWise used to follow up on the quote. This call will be linked to both the ConnectWise contact and the ConnectWise Opportunity. e) The QuoteWerks DataLink feature can be used with ConnectWise enabling you to retrieve information like Terms and shipping method from the ConnectWise contact into the quote. f) When printing, QuoteWerks can retrieve Contact data from ConnectWise and include it in the printed output. g) ConnectWise Contact data can be retrieved using the F2 Lookup macro of ~ConnectWise_Macro(). h) QuoteWerks can link to the ConnectWise product database as a Product Data Source. From within QuoteWerks you can search the ConnectWise product database, and add these products to your QuoteWerks quote. i) The integration communicates directly with the ConnectWise backend, so the ConnectWise "fat" client does not need to be running for the integration to work. This is particularly useful if you do not have ConnectWise or QuoteWerks running. In this case, if you want to create a quote, you only need to open QuoteWerks.

 42. Recurring Revenue support. Now, you can use the Line Item Attributes to specify if a line item is recurring revenue like a Weekly, Monthly, Quarterly, or Annual fee. You can set if you want the first month's fee to be due up front or not. You can easily run management reports to see how much Monthly revenue is forecasted based on these recurring revenue items. You can also filter these reports to see when various monthly contract periods are ending, so that you can contact your customers for renewals, etc. Often in a quote, you may have one line item with an Annual recurring revenue and another with a Monthly recurring revenue. Rather than having to individually specify the start and end date for both of these line items, you can just set the ContractStartDate and ContractEndDate on the Sale Info tab and that can be used for both line items. The RecurringBillingCycle, RecurringStartDate and RecurringEndDate columns will be available on the Document Items tab. You have access to all this recurring information in the print layout with the following DocumentItem fields: &LineAttributeIsRecurring, RecurringBillingCycle, RecurringFirstPaymentIncluded, &RecurringRevenueWeekly, &RecurringRevenueMonthly, &RecurringRevenueQuarterly, &RecurringRevenueAnnual. Additionally, there are document level DocumentHeader macros of &RecurringRevenueWeeklySubtotal, &RecurringRevenueMonthlySubtotal, &RecurringRevenueQuarterlySubtotal, and &RecurringRevenueAnnualSubtotal.

 43. QuoteWerks now supports product content subscriptions from Etilize. This subscription provides QuoteWerks users in the IT industry with consumer friendly product descriptions, product images, and marketing descriptions. Without Etilize, QuoteWerks users have to import product information and scour the web looking for product images to download and for product descriptions to include in their quotes and proposals. With Etilize, QuoteWerks searches the Etilize database "from the cloud", and returns product matches including customer friendly descriptions, product pictures, and in depth product summaries with marketing and feature descriptions, all of which are easily added into the quote. The pictures are automatically downloaded and saved into the QuoteWerks\Images folder. Combine the Etilize subscription with the Real-time Pricing & Availability for D&H, Ingram Micro, Tech Data, and SYNNEX, and the Etilize integration will also show you the current pricing and availability for each of these items from each of these distributors all at once. Please note, Etilize supports part numbers from D&H (USA & Canada), Ingram Micro (USA & Canada), Tech Data (USA only), and SYNNEX (USA only).

 44. The Online Ordering Module is no longer sold as a separate $399 annual subscription. The Online Ordering features are now included with the Real-Time Data Module. Additionally, while in demo mode, you can now interact with the Online Ordering screens. You will still need to request a trial key however to activate the ability to actually place an online order.

 45. Real-time Pricing and Availability is now available for the UK IT distributor Westcoast ( www.westcoast.co.uk ).

 46. Real-time Pricing and Availability is now available for the UK IT distributor Northamber ( www.northamber.com ).

 47. Added new CompanyAKA1, CompanyAKA2, and CompanyAKA3 fields to the built-in QuoteWerks contact database. This feature lets you specify up to 3 "Also Known As" (AKA) aliases for each company record. When searching for a contact by company name, if the search phrase finds a match in the Company, CompanyAKA1, CompanyAKA2, or CompanyAKA3 field, that record will be returned in the results. There are many fantastic ways to use this new feature which you will quickly find very useful. For example, a company like "Center for Computer Resources" when asked for their company name may reply with "CCR". If you search your database for CCR you will of course not find it, because the company’s full name is "Center for Computer Resources". Using the new company name aliasing feature, you can set CompanyAKA1="CCR". That way you will find their record if you type in either "Center for Computer Resources" or "CCR". Here is another way to use the Aliasing feature. You may use contact management software "GoldMine". The company that makes "GoldMine" is "FrontRange Solutions, Inc.". If you want to search your database to look for the phone number for GoldMine support, you will most likely remember the name "GoldMine" and not "FrontRange Solutions, Inc." In this case, you can set the CompanyAKA1="GoldMine". That way when you search for "GoldMine" it will pull up "FrontRange Solutions, Inc." Building on this, you could also store the name of your GoldMine reseller in CompanyAKA2, so that when you search for "GoldMine" QuoteWerks returns the contact information for both the company that makes GoldMine and the reseller that services your GoldMine installation. Another really great use for the Aliasing feature is to record company parent and child relationships. A company may have its own particular name like "Aspire Technologies, Inc.", but its parent company is "Lewe Enterprises". You may have "Aspire Technologies, Inc." listed in your database, but when they call you, they say their name is "Lewe Enterprises". In this case, you can set the Company="Aspire Technologies, Inc.", and CompanyAKA1="Lewe Enterprises". Another use would be simply to use the Alias as a nickname. Another use is when a company changes their name. You can put the old name in CompanyAKA1, and update the Company field with the new name. This way, you will find the record when you search for the old or current company name. This is particularly useful when someone who has been with the company for a long time may initially announce themselves as working for an old company name either accidentally or they assume that your records have not been updated.

 48. Added support for a Sales Rep picture and Electronic Signature picture on the Personal tab of the Tools->My Preferences menu. This is a great way for your customers to get to know the personal side of your sales reps. The Electronic Signature picture can be used to add a picture of your handwritten signature to the quote which is another nice personal touch. These pictures are available as the following fields in the layout designer: Application.LoggedInUserPicture, Application.LoggedInUserElectronicSignature, DocumentHeaders.&SalesRepPicture, and DocumentHeaders.&SalesRepElectronicSignature.

 49. On the Layout Designer window, there is now a [Save and Preview] button on the toolbar. With this, you can make a change to a layout and then click this button to perform the combined tasks of saving the layout, closing the layout, and previewing the layout. Additionally, after the preview window is closed, QuoteWerks re-opens the layout in the layout designer so that you can continue making changes!

 50. Added 4 more CustomText fields on the Custom tab of the Quote WorkBook. Added fields CustomText21, CustomText22, CustomText23, and CustomText24.

 51. Added Opportunity Name default on the Misc tab of the Tools|Options menu. Macros are supported. With this, the default Opportunity names can be more descriptive and therefore more useful. Currently this is only used with ConnectWise opportunities.

 52. Keyboard shortcuts for date field entry in most date input text boxes such date fields on the quote workbook tabs, the Edit Product window, Open Document, QuoteWerks Edit contact window, and more. The keyboard shortcuts are as follows: "t"=today's date. "+"=increase the date by one day. "-"=decrease the date by one day. "d"=increase the date by one day. "m"=first day of the month(if field is empty), otherwise increases the date by one month. "h"=last day of the month(if field is empty), otherwise increases date to the end of the current month, and then each subsequent press increases the date to the last day of the next month. "y"=first day of the year(if field is empty), otherwise increases the date by one year. "r"=last day of the year(if field is empty), otherwise increases date to the end of the current year, and then each subsequent press increases the date to the last day of the next year.

 53. You can now specify an ItemType for Percent Charge and Percent Discount line items. Also, the ItemType can now be specified in the definition of Grouped Bundles and Grouped Configurations.

 54. In the Quick Loookup toolbar, if you type in a part number, and the product is not found, the part number field will no longer be cleared.

 55. Added Application->CurrencySymbol field, and DocumentHeaders.&AlternateCurrencySymbol field for the print layout designer.

 56. The Edit Product window caption now displays the Manufacturer Part Number for quick reference.

 57. The SYNNEX description field now supports descriptions longer than 100 chars. A longer description of up to 240 characters (if provided by SYNNEX) is now supported. To apply this change, the SYNNEX product data source will need to be removed and the re-added.

 58. The macro field &SYS_TodaysDateA has been added. It returns a string formatted like "March 19, 2010". The existing macro &SYS_TodaysDate returns a string formatted like "Mar-19-2010".

 59. Added new user level based ini setting of "OutlookBCMAssignedToOveride". This was done to accommodate a situation where the network user machine was only part of a workgroup - not a domain. This caused a problem with the Outlook "Assigned by" field not matching the operating system credentials.

 60. Reseller Branding is now supported. Resellers can request a QuoteWerks Reseller Branding String. When this Branding String is entered into a QuoteWerks installation a Help->Contact My Reseller menu will appear. When the user clicks on this menu, the reseller's contact information, and a personalized message will be displayed. Additionally, when users receive messages from within QuoteWerks and through the QuoteWerks Communicator system, instead of the message saying the generic "contact your local reseller to purchase", it will give specific details on the local reseller to contact including company name, contact name, phone number, email, etc.


Version 4.5 Build 1 (released December 16, 2009)

 61. Updated QuoteWerks Interface! Color Schemes/Skins are now supported in QuoteWerks under the Appearance tab of the Tools->My Preferences user. Color schemes control the appearance of menus, buttons, text boxes and more. QuoteWerks can now look like Windows Vista, Office 2007, or even like a Mac application. You have to see it to believe it! It is really amazing. Each user can choose their own color scheme enabling them to express their personal preferences.

 62. Drag Drop support! You can now drag and drop line items in the quote, instead of having to cut and insert paste line items. You can drag single line items or multiple line items.

 63. There is now a Links tab in the Quote WorkBook. Here you can link external files to the quote document. If, for example, you have created a Visio diagram or cad drawing file that is related to this quote, you can simply select these files to add them to this Links tab. You can even drag the files into the Links tab from Windows explorer. It's that easy. With all the external files related to this quote document displayed on the Links tab, finding and opening them to edit or print is so much easier now because you can just open the QuoteWerks quote, and on the Links tab, all of these files are organized for you. No more trying to remember where they are stored or going searching for them. Once you've added a file to the Links tab, you can edit the description of the file so that it is displayed as "Network Architecture Design", rather than as the file name "f:\data\VisioFiles\NetworkDesignForABCCompany.vsd".

You can also add website links to the Links tab. You can simply drag the website address from your web browser into the Links tab. You can use this to link a package tracking url into the Links tab. Using the description feature you can name the link "UPS tracking for the flat screen TV". Double-clicking on the link launches the web page. You can add as many links as you like. You could also add links to website pages that contain information about the products you are selling whether it be for your internal reference or for your customer's reference.

 64. There is now a "Create new linked file using template" feature on the Links tab, from within the quote, you can easily create a copy of any file and QuoteWerks will automatically give it a file name unique to this quote and will add it to the Links tab. So for example if you have a document template file called "JobCostAndTimeTracking.xls", simply clicking on the "New file link from template" button on the Links tab, QuoteWerks will make a copy of this file and name it, for example, "AAAQ1001_JobCostAndTimeTracking.xls". You are not limited to only one Excel file template either. You can setup as many as you want. You can have ones for different job types. You can create templates for any file type, even a text file like "OpenItemsTODOList.txt".

 65. Improved Proposal support. Using the "Create new linked file using template" feature on the Links tab, you can also create a proposal template and save it in an RTF format. You can design it to look like your proposals. You can create complete proposal type documents containing different font types, sizes, bold, underlining, colors, bulleted lists, tables, etc. These proposal documents are unique to each quote and have their own unique file name (as described in the "File Name Generation Options" feature). These documents can contain QuoteWerks macro fields so that data from the quote is merged into these proposals resulting in the combined output of your manual customization along with the automation of data merging from the quote. Before QuoteWerks version 4.5, there was no way to merge quote data into an RTF document specific to a particular quote.

 66. On the Print window there is a new Links tab. Here you can choose which files to include in the printed output. If you have any RTF files (like your proposals) linked, just put a checkmark next to it and it will be merged into the printed output. If you are emailing the printed output, you can choose which of the linked resources you would like to include as attachments in the email. So if you want to include that Visio drawing in the email to your customer, just put a checkmark next to it.

 67. ACT! for Web (version 2010) is now supported!. This new integration is available in the Corporate Edition of QuoteWerks. In our experience the ACT! for Web integration is over 50% faster* than the standard ACT! integration. The integration includes: a) ACT! for Web can be searched to find Contacts to pull into the quote. b) QuoteWerks will create/update an attachment to the quote under the Documents tab in ACT! for Web. c) QuoteWerks will create/update a follow up call in ACT! for Web. d) QuoteWerks will create/update a Sales Opportunity in ACT! for Web. e) The QuoteWerks DataLink feature can be used with ACT! for Web enabling you to retrieve information like Terms and shipping method from the ACT! for Web Contact into the quote. f) When printing, QuoteWerks can retrieve Contact data from ACT! for Web and include it in the printed output. g) ACT! for Web Contact data can be retrieved using the F2 Lookup macro of ~ACTForWeb_Macro(). h) There is a "Display contact in contact manager" button on the SoldTo / ShipTo tab that will open the ACT! for Web Contact in ACT! for Web for the SoldTo, ShipTo, or BillTo linked contact. i) On the select Email Address window, you can see all the ACT! for Web email addreses associated with the contact record linked to the Sold To, Bill To, and Ship To fields. j) On the select Email Address window, there is now an option to "Search ACT! for Web" for an email address. You can search your entire ACT! for Web database for an email address, searching by Company, Contact, Last Name, or Phone. *We attribute this to the fact that ACT! is not installed on the same workstation PC that QuoteWerks is installed on. All of the ACT! processing and database searching occurs on a remote server, so ACT! is not using up any of the CPU time or memory on the workstation PC leaving more resources for QuoteWerks and other applications.

For example, the default is for the Cover Page to print, and then the Print Layout, and then the Spec Sheets, and then the Literature.  70. On the Misc tab of the Tools|Options menu, there are new File Generation options. Here you can control the names of files created during various operations. For example the Document Attachment file is the file that is created when you email a quote. This file may be saved in .pdf or .rtf format depending upon your settings. Before, this file name was simply the document number like AAAQ1001.pdf. Now you can completely control the name of the file to make it more meanful to you and your customer. You can do this using macros like "Document_&DH_DocNo_&DH_DocName" which would result in a file name like "Document_AAAQ1001ChicagoLocationManagedServices.pdf".

DataFeedFile.com gathers product data from thousands of Online Stores (merchants) and creates a comprehensive and searchable database, making it possible to easily compare prices between online stores. DataFeedFile.com is a free service. Using the QuoteWerks Real-time module you can search DataFeedFile.com and have access to all this information from within QuoteWerks. In the search results you can right click on the items and choose 'View Item URL' to display the selected item on the merchants website (like amazon.com or buy.com), where you can see more details about that product on that merchant's website.

This can be used with Maximizer enabling you to retrieve information like Terms and shipping method from the Maximizer Company, Individual, or Contact (whichever is linked to the quote) into the quote. d) When printing, QuoteWerks can retrieve Contact data from the Maximizer contact that is linked to the quote and include it in the printed output. Previously only data from the current Maximizer record could be used. e) Maximizer Contact data can be retrieved using the F2 Lookup macro of ~Max_Macro() to pull data from the Maximizer contact that is linked to the quote. Previously only data from the current Maximizer record could be used. With these changes, Maximizer versions earlier than 7.0 are no longer supported.

Version 4.0 Build 50 (released September 22, 2009)

 100. Real-time Pricing and Availability is now available for IT distributor Dexxxon Digital Storage ( www.digitalstorage.com ).

 101. New and improved PDF generator no longer requires that a printer driver be installed. Requiring a printer driver be installed involved great complexity and many issues arised relating to security (users have to have OS level permissions to install/remove printers) and low level Operating System (OS) functionality such as functionality on 32-bit vs 64-bit Operating Systems, and even would have issues relating to how many processing cores a machine's CPU had. While PDF Generating Printer Drivers are the most prominent means of creating PDF files (because it is easy for the programmer, but problematic for the end user), we have chosen to rise above all this and create a solution that does not require a printer driver thereby leaving all these problems in the past.

 102. When choosing the option to embed fonts in the PDF file, the size of the PDF file is now smaller due to the fact that only the font characters that are used in the document are actually embedded in the PDF file. This also makes the document even more tamper-resistant since the only font characters that are embedded in the file are the characters that were used in the file.

 103. On the Misc tab of the Tools|My Preferences menu, there is now a new "Color and underline hyperlink URLs when creating PDF file" option. The PDF generator automatically detects hyperlink link strings so that when viewed in Adobe Acrobat you can click on those links to display the link in your web browser. Until now, those links did not look any different than the rest of the text. Now, with this new option, you can choose to have these automatic hyperlinks display as blue underlined links.

 104. When PDF files are created, you now have the option to flag them as Read-Only. You can set this option under the Misc tab of the Tools|My Preferences menu. Additionally, when setting the PDF file as Read-Only, you also have the option to prevent the recipient from copying text out of the PDF file. When receiving quotes/estimates, many customers/leads often copy out part numbers and descriptions, and then paste this copied information into a web search engine in an effort to search for better pricing. Without the ability to copy and paste so easily, the recipient would have to spend a lot of time having to re-type all this information which would be a deterrent against them price shopping.

 105. When printing a document from the preview window, if the document being printed included PDF formatted Spec Sheets, or PDF formatted Literature Files, a Print PDF file window will now appear that enables you to simply choose which PDF files you want to print, and then it will print them using Adobe Acrobat to the printer that you just printed to from the Preview window.

 106. Added Misc Access Rights CannotModifyFieldValue:DH_&SoldToFields, CannotModifyFieldValue:DH_&ShipToFields, and CannotModifyFieldValue:DH_&BillToFields. These completely revoke the user's ability to modify any of the SoldTo/ShipTo/BillTo fields located on the Sold to/Ship to tab of the WorkBook. These rights behave just like the CannotManuallyModifyFieldValue:DH_&SoldToFields rights, but they only apply once a CRM contact has been retrieved (versus manually typed in) into the quote. Note, the SoldToPriceProfile field is not included in CannotManuallyModifyCRMRetrievedFieldValue:DH_&SoldToFields. There is a separate CannotManuallyModifyCRMRetrievedFieldValue:DH_SoldToPriceProfile right for this field.

On this "Select Default Literature..." window, you can also specify if this default literature will be applied by default when converting, for example, a Quote to an Order using the "Apply this literature to documents that are converted to an Order/Invoice" checkbox. When specify which literature documents to use as a default, you can specify individual literature documents, or you can specify to select all the literature contained within a particular literature folder. When adding new literature later, any files added into the specified literature folder will automatically be included in the default literature, whereas if you choose specific literature documents, the newly added literature would need to be specifically added to the default literature selections.

 118. On the Literature tab of the Print window, there is now a [Apply default literature for Quote/Order/Invoice] button. This can be used to apply the default literature selections by adding them to the existing literature selections. If you wish you replace the existing literature selections, click on the [Deselect All] button before applying the default literature.

 119. When converting, for example, a Quote to an Order, on the Convert Document window, there is now an option to "Apply default literature for new Order/Invoice" which will add the default Order/Invoice literature to the existing selections currently associated with the Quote.

 122. For Canadian users, added support for a document level GST Tax rate. This is important now that the Canadian government has started changing the GST tax rate. Before installing this update we recommend that you do a Utilities|Merge Remote Documents, then install the update, then using the medic utility, you will need to run a SQL command to update all documents prior to the date that you changed the GST Tax Rate in QuoteWerks with the older GST Tax Rate. For MS Access backend database the SQL command would look similar to: "UPDATE DocumentHeaders SET GSTTaxRate=0.05 WHERE LastModified < #01/01/2008#", and for a MSSQL backend the SQL command would like similiar to "UPDATE DocumentHeaders SET GSTTaxRate=0.05 WHERE LastModified < '01/01/2008'". After you run the SQL update query, run the Utilities|Rebuild CM Transport files to update all the DTF files with the new field and data.

 123. For Canadian users, the GSTTaxRate field is now available as a DataLink field.

 124. Innovative Context-Sensitive Tutorial Video links are now displayed on various QuoteWerks windows as a hyperlink labeled "Watch Tutorial Video". These links make it easy to play the appropriate tutorial video based on the window you currently have open, without having to manually go to the website, determine if a video on this topic exists, and then manually play it. The Context-Sensitive Tutorial Video links obtain their content from the Tutorial Videos page on the QuoteWerks website ( http://www.quotewerks.com/tutorial.asp ). The "Watch Tutorial Video" hyperlink is now available on the Tools|Export To QuickBooks window, the QuickBooks Interactive Link Setup window, Tools|Export To Peachtree window, the Peachtree Interactive Link Setup window, the Realtime tab of the Tools|Options menu, the Products|Setup Products Data Sources menu, the Products|Import Wizard menu, and then Utilities|Sync menu.

 196. Added support for Real-time Product Content through OpenICEcat. OpenICEcat is a worldwide open catalogue developed in co-operation with over 150 sponsoring manufacturers for the purposes of providing real-time product content such as detailed product descriptions, pictures, and spec sheets. There is no charge for the OpenICEcat service. The QuoteWerks Real-time module is required to access this information. You can right click on a product and choose the Real-time Content menu to display real-time detailed product descriptions, pictures, and spec sheets for the product. For products in native product databases, you have the option to update the product with this real-time content, and by doing so, the pictures and/or spec sheet files will be downloaded and saved into your QuoteWerks installation for future use. On the Document items tab, you can select the Tools|Real-time Product Content menu to update the descriptions of any selected items already in the quote with Real-time Content.

 197. When attempting to open a document that is already in use by another user, you will now have the option to open the document in Read-Only mode. In a situation where a colleague has the document open, has locked their workstation, and is out of the office, other users can still open it (subject to normal rights restrictions) so they can view it. When a customer calls in and asks for information about their quote, other users need to be able to see it instead of being locked out from it. A document opened in Real-Only mode will have “(Read-Only)" displayed in the title bar of the document.

 198. Added Misc Access right "CannotModifyFieldValue:DH_InternalNotes" and "CannotModifyFieldValue:DH_PurchasingNotes". Useful for restricting a user from modifying those fields on the Notes tab of the WorkBook. These fields could then be updated with information about the quote that other users can see, but not change.

 199. Added Misc Access rights "CannotModifyFieldValue:DI_Description" and "CannotModifyFieldValue:DI_ManufacturerPartNumber". When these rights are set, the user cannot modify these fields on the Document Items tab. This is useful in restricting a user from modifying these values to be anything other than what is defined in the product database. Preventing a user from modifying the Manufacturer Part Number is especially useful in that if it is changed, it no longer matches the entry in the database and/or accounting software. When these rights are set, these columns on the DocumentItems tab will have a grey (disabled) background, and when the user clicks in the cell, the status bar will display "You do not have rights to modify this field. This field is read-only".

 200. The list of Misc Access Rights has been re-ordered in order of categorical groupings and can now be sorted alphabetically.

 201. Added the default option "Don't update Order with real-time ordered price." to the General tab of the Tech Data Online Ordering Options window. Also added the corresponding option "After order submitted, don't update Order with real-time ordered price." to the Tech Data online ordering window, so that this can be changed per order. This option is useful when you receive special discount pricing from Tech Data that Tech Data does not make available through real-time pricing & availability or ordering. When this option is set, the special pricing in the QuoteWerks order that you have manually entered will not be overwritten with the generic pricing that is returned by real-time pricing & availability in the order.

 202. Added Misc Access right "CannotCreateContactRecord". This can be used to prevent a user from creating or cloning contacts in the QuoteWerks contact database.

 203. Added Misc Access right "CannotUseRealtimeLicense". Useful for preventing users from using real-time features and thereby reserving a Real-time module license.

 204. Added "Use comma (not space) to delineate part number from quantity in Quick Lookup Bar." option to the Misc tab of the Tools|My Preferences menu. This is useful when your part numbers contain spaces.

 208. For API users, added new Database backend object. With this developers can read from and write to any QuoteWerks database, except the product databases. This is useful for performing database related activities like importing and exporting records, running queries to find particular data, etc. For security purposes a Developer Access Key system was implemented so that the QuoteWerks administrator will have control over what applications will have this access to the QuoteWerks databases. This security is administered under the Security tab of the Tools|Options menu.

 209. For API users, added new DocFunctions.DocumentSave method. This method can be used to save a new document, or save changes to an existing document. It does not however perform any CRM related integrations.

 210. For API users, added the Installation.UniqueID property. This is the counterpart to the Application.GetMacro method. The Application.GetMacro("&SYS_InstallUniqueID") will return a unique ID that indentifies this QuoteWerks installation. Then, with this, the developer loop through all the installations (using the backend dll object) to find the installation with the matching unique id.

 211. For API users, added new Application.DoAction method. This .DoAction method enables developers to initiate menu selections. Currently supported are "CallMenuFileSave", and "CallMenuToolsOptions".

 223. When running management reports, you can now insert the fields Application->ReportFileName, Application->ReportName, and Application->ReportDescription into layouts used in reports. This is useful when a report layout is used with multiple reports. For example you might have several reports like Today's Quotes, This Week's Quotes, and Last Month's Quotes. The layout format for all of them will most likely be the same. If you wanted the layout to print the text "Last Month's Quotes" you would have to manually insert a label with that text and would have to create a different layout for each report just to have that unique label. By inserting the new Application->ReportName field into the same layout shared by these reports, whichever report is printed will display the respective report name like "Last Month's Quotes".

 224. Added new &APP_CompanyMessage1 and &APP_CompanyMessage2 macros. The values for these macros can be set on the Company tab of the Tools|Options menu. These are useful for storing, for example, a daily special and/or the monthly special. What is so powerful about this feature is that these macros can be inserted into cover pages, print layouts, email signatures, etc. When you change the Company Message value, it automatically changes everywhere it is used, so you do not have to manually update your cover pages, print layouts, and email signatures with the daily special - EVERYDAY! Alternatively, you could store something like "Serving the Chicago land area for over 15 years." and when you’ve reached year 16, you will just need to make the change in one place.

 225. Macros are now supported in Document Names for templates. For example, if you save a document as a template and give the template a name like "Standard System - &DH_SoldToCompany &SYS_TodaysDate", then when you use the template by selecting this template from the File|New menu, and then save the resulting document, those macro values will be replaced with the actual values.

 226. Added support to increase the maximum number of open documents allowed at the same time. The default maximum number is 5. Editing the SITE.INI file and adding the INI key MaxNumOpenDocs under the [System] section you can set this maximum number to a value between 1 and 10. We recommend that you use this setting with caution as the use of this setting may cause you to run into memory issues depending upon your machine and usage (size of each document). If you run into issues, we recommend you reduce the MaxNumOpenDocs .

 227. On the Utilities|User Maintenance window, pressing the DEL key will now initiate the delete for Users or Groups.
