If you attempt to select file larger than 150K for Sales Rep Picture, Sales Rep Electronic Signature, CompanyLogo, CompanyPicture1, or CompanyPicture2 will receive a message alerting you that you need to reduce the file size before you can use it for performance reasons. You can significantly speed up the creation of print output and QuoteValet uploads by not using unnecessarily large images. Often images native size can be 10 inches wide which gets resized visually by the software to only 2 inches wide on the screen, but the file data itself is for 10 inches. The Expires field (ExpirationDate) on the Sale Info tab of the Quote Workbook now contains a time portion. This is useful for specifying that a quote expires at 5pm on a certain day. This changed is also supported in QuoteValet. You can specify the default expiration number of days and time on the Documents.General tab under Tools->Options menu. In the time text box if you enter, for example, +5:35 then it will add 5 hrs and 35 minutes to the current time. Without a + symbol the time will be a fixed time.

For QuoteValet Users, you can now have a custom Alias/CNAME in the QuoteValet URL. So, instead of www.quotevalet.com, the URL could be yourcompany.quotevalet.com. If a document was uploaded to QuoteValet, if it has been Accepted, or Accepted By Proxy, or Lost, then when you open the document, QuoteWerks will no longer try to apply field level changes from the QuoteValet document to the QuoteWerks document. This change fixes an issue where a customer accepted a quote on QuoteValet and supplied some field values that initially updated the QuoteWerks quote, but then the user changed them, and the next time they opened the quote, it would apply the values from the accepted QuoteValet quote, overwriting the changes the user had made after the acceptance.

For QuoteValet users, QuoteValet now supports the ability for customers to upload multiple files to the QuoteValet Quote. When they upload a file, by default the name will be the file name that was selected, but the customer can rename the "file" once it has been uploaded to QuoteValet. The sales reps will receive email and dashboard notifications when the customer uploads files. The e-mail notification will include a link to download the file and also a link to take the sales rep to the File Upload Area on the QuoteValet quote. Customers will not be able to delete files once they have been uploaded, however a sales rep can delete the files. This is by design, since anyone with this link can view the quote (as it has always been), but just being able to view the document has never given the person the ability to delete information. The Sales Rep can also visit the QuoteValet page and upload files themselves. There will be two tabs in the "Uploads Area", "Customer Uploads" and "SalesRep Uploads". This lets the sales rep upload extra files or literature instead of having all that material included in the singular QuoteValet quote PDF. When the Customer or Sales Rep uploads a file there is an option for them to be prompted to specify a Category, Like "PO", or "Artwork". These categories are customizable. The Customer can also include notes for the Sales Rep with the uploaded file. Improved payment options. On the Sale Info tab you can now select from the payment types of Credit Card, Check, eCheckACH, WireTransfer, CustomPaymentType1, and CustomPaymentType2. You can customize the display text for each of those payment options. You can specify that a % or fixed amount surcharge or discount be applied to the quote when that particular payment option is selected. Useful, for example, in charging the customer a 3% surcharge if they pay by credit card, or a 3% discount if pay by check, or a $15 fee if pay by wire transfer. There is also an option to automatically disable a payment method, for example, credit card when the quote total is over, for example, $3000. You can set defaults for each payment type such as if you will charge a surcharge, what amount, is it taxable, etc. When a quote is accepted, your customer will see only the payment options that you have to present to the customer for this quote. You can set defaults so that all new quotes start with default payment options, and then you can change the payment options to be unique for each quote based on your needs. For QuoteValet users, YouTube video support! With your QuoteValet quote you can now include one or more videos to be displayed on the QuoteValet quote. You can even set one of them to start auto-playing as soon as the QuoteValet page is displayed. You can also include one video per line item. You can specify the default video(s) you would like each new Quote, Order or Invoice to include on the General tab of the QuoteValet setup window. You can also specify one video in a native database product definition which will be included in the quote for the line item when the product is added into the quote. If a quote was saved and then uploaded to QuoteValet, and then closed without any more changes, the DTF file was not being re-saved. This would cause issues when the "Look for synchronized data in dtf files" option was set on the Synchronization tab of the Tools->Options menu. Combined with the Daylight savings time change, it would appear that the older DTF file was newer resulting in the quote from the database being replaced with a version of the quote that did not have the QuoteValetDocumentID saved into it, so the QuoteValet tab would be disabled even though the quote had been uploaded to QuoteValet. After applying this fix you will need to choose the Utilities->Rebuild CM Transport files to rebuild all the DTF files with current data from the database. Multiple Monitor enhanced support. Changes have been made to better control which monitors windows appear on when they open. When the "Don't remember window location" option on the Misc tab under Tools->My Preferences is checked, window locations will not be remembered, so windows like the Product Lookup window will just open on the same monitor as the main QuoteWerks application. If this is unchecked then QuoteWerks will remember the last location you positioned the following QuoteWerks windows: Main window, Product Lookup, Configurator, Purchasing, QuoteValet Dashboard, Send Email, and Email Templates. Autosave feature. Autosave will save the quote to the database about every 2 minutes as triggered by activity. Since AutoSave is automatic and inline while you are composing your quote, AutoSave quickly saves the quote to the database, but does not save changes to the CRM or to QuoteValet since those take much longer. When you do a full save you will be prompted to update your CRM and QuoteValet. Also when a quote is closed that was only AutoSaved, you will be prompted to do a full save. Executive Summary: Gain insight into your business with the Executive Dashboard. From this dashboard you can see the total number and dollar amount of all quotes sent, accepted, and paid for any given date range. When reviewing each of these documents, you can use the [Send Note] feature to email the sales rep feedback or questions about the quote and you can easily cc their supervisor. The web browser "quotewerks:" protocol handler introduced with QuoteValet as a way to open QuoteWerks quotes using a URL. Now it has been updated to support all the functionality supported by the QuoteWerks Web Connector, thereby eliminating the need for the QuoteWerks Web Connector. This is particularly beneficial for terminal service users because the WebConnector would need to be setup for each terminal server user on a different manually specified port number, whereas none of this setup will now be required with the new "quotewerks:" protocol handler.
The Web Connector is used mostly in conjunction with web based CRM packages like salesforce.com and SugarCRM. It can also be used with any system that can launch a Web Link (URL). Using this feature it is possible to automate QuoteWerks creating a new quote and populating it with information from the web url. Attach File to CRM feature. With this feature you can automatically and manually attach files to your CRM. When emailing a quote to your customer as a PDF file, the PDF file will automatically be attached. When uploading a quote to QuoteValet and Emailing the customer the notification, the PDF file of the quote will automatically be attached. You can manually attach a file to your CRM by right clicking on a file in the Links tab, on the Print Preview window, and also from the Print window Save as PDF option. This makes the PDF version of the quote viewable by any colleagues that have access to the CRM record without having to have QuoteWerks installed. Particularly useful for the service or technical side of the business having access to the details of the job that was quoted. This new feature is turned on by default and can be controlled with the setting "[]Automatically attach PDF sent to customer by E-Mail or QuoteValet to the CRM Account or Opportunity." located on the Print tab of the Tools->Options menu.When using this feature with Autotask, ConnectWise, salesforce.com, you need to attach the quote to an opportunity first. For QuoteValet users, you can now recall a quote. When a quote is recalled, your customer will not be able to view the quote. Instead, they will be redirected to a template that says, for example, "Sorry, this document has been recalled on 12/15/2010 at 9:45am by John Lewe." Optionally you can set a reason for the recall that your customer will see. Often you will leave it blank, but typically you would enter something like "Sorry, I forgot to include monthly maintenance, I'll have an updated quote to you today by 4:00pm". Unified Print, Share, Publish Deliver window. The Print window has been re-designed to support the new Microsoft Word merging, QuoteValet, Save as PDF, Peer Review, and Approval features. On the surface it may look familiar, but underneath it behaves very differently. Now, on the Layout tab, you can choose <None>. This is useful if you just want to print a cover page or some literature, etc without printing a quote layout. Another difference on this tab is that you can now choose a Word document template from this tab. The word documents stored in the \Layouts\Quotes folder will appear in this tab. From this window, you have always been able to choose a layout, a cover page, multiple literature files, multiple spec sheets, and multiple files from the links tab. You can still do this, but now the layout is seamlessly either the built-in layout or an external word document template. When you select an .rtf cover page in addition, QuoteWerks automatically behind the scenes merges the macros in the RTF file, converts the RTF file to a PDF file, and then merges that PDF file with the PDF file output from the Word merge. Approvals. Have you ever had a sales rep email a quote to a customer that you wished you had reviewed before the customer received it? You now have that power within QuoteWerks! With the new Approval Requirements feature you can require that your sales reps obtain approval from you before a quote can be printed, emailed, or uploaded to QuoteValet. You can activate the Approval requirement per sales rep, and define under which conditions the approval is required and by who the approval needs to be obtained from. An Approval requirement can be triggered on a document or line item level. For example, if any single item's margin is less than 5%, then this quote requires an approval, or if the margin on the entire quote is less than 15%, then this quote requires an approval. When an approval is required, you can specify who is authorized to approve the quote. For example, if the quote amount is greater than 10,000 it requires the single approval from the sales reps manager. If the quote amount is greater than 50,000 then it requires a single approval from an escalated approver such as the CEO. If the quote amount is greater than 100,000 then it requires multiple approvals from escalated approvers such as the CEO and CFO. There are many different scenarios that can be accounted for. The Approval Requirements are setup Under the Utilities->User Maintenance menu. Select a user and click on the [Edit] button. From there, click on the Documents tab, and then click on the [Document Approval Settings] button. From there you can specify the approval requirements. When an approval is required, the user can request it by selecting the [Request Approval] button on the File|Print window. When used with the optional QuoteValet subscription, the approval features are greatly extended.
