How do I Maintain and Backup the quote database?

QuoteWerks comes with a Medic utility that is designed to help you resolve some common and easily rectifiable problems (such as repairing databases, etc) that arise without contacting QuoteWerks Support Services.

With the introduction of the Medic utility most of our customers rarely need technical support after the initial setup. This is desirable because technical support may not be available when your problem arises (after hours, weekends, etc.).

Starting the Medic utility

You can start the QuoteWerks Medic from the Windows Start button.  Choose the Programs|QuoteWerks 4.0|Tools & Information menus, and then double-click on the Medic Utility icon.  You can also start the Medic utility manually. The Medic utility program file name is MEDIC.EXE and is located in the \QuoteWerks directory.

Important: No users can be in QuoteWerks when you are running the medic utility.

Repairing and Compacting Databases

Select the Utilities|Database Maintenance menu to list all the databases that can be repaired and compacted.  Then select the databases that you want to repair and compact, and then click on the [Start] button. If you are using a rehosted installation of QuoteWerks, you do not need to use the repair and compact functionality in the Medic Utility.

Sometimes databases become corrupted because of power failures and other unforeseen events.  You can use this utility to attempt to repair these databases.

Microsoft Access databases along with other databases require maintenance from time to time.  The most prominent reason for this is that when records are deleted from the database they are only marked as deleted, and not actually deleted.  Not deleting records immediately increases the performance of the database.  The utility will compact the database thereby removing all deleted records and optimizing the database for speed.  Often a compact has a better success rate in fixing a corrupt database than the repair function does.  If you are experiencing database related problems, perform a repair followed by a compact to ensure that your database is in good shape.

The QuoteWerks system databases that you can repair and compact are all located in the \QuoteWerks directory.  See the QuoteWerks System Files appendix in the user manual for a listing and description of all the QuoteWerks database files that can be repaired.

Note: You cannot repair or compact a database that QuoteWerks uses while QuoteWerks is running.

Note:  Before the repair or compact process begins, QuoteWerks makes a backup copy of your database with the same base name followed by a numerical sequence for the extension. (example: PRODUCTS.B01).  QuoteWerks increments this sequence each time you do a compact, so the backup file that was just created has the highest numerical sequence.  If during the repair or compact procedure an error occurs, you can retrieve your database by renaming the PRODUCTS.B01 file to PRODUCTS.MDB.

Note: QuoteWerks 4.0 databases that have not been rehosted to MS SQL are in Microsoft Access 2002/2003 format. The Corporate Edition of QuoteWerks enables you to rehost to MS SQL.
